Membership Purchase - Terms and Conditions

Welcome to the East Grinstead Children’s Choir! We are delighted to have your child join us. Please carefully read the following Terms and Conditions, which outline the responsibilities and expectations for all members and their parents or guardians.

1. Membership Eligibility

        •       Membership is open to children aged 4 to 11 years old.
        •       All members must demonstrate a commitment to regular attendance and participation in rehearsals and performances.

2. Membership Term and Fee

        •       Membership to the East Grinstead Children’s Choir is valid for the choir season starting on Thursday, 12th September.
        •       Membership is only refundable until Friday, 13th September, following the first rehearsal session. After this date, no refunds will be issued under any circumstances.
        •       Membership fees must be paid in full prior to the first rehearsal session. Payment details and options will be provided upon registration.
        •       The cost of lessons works out to roughly £5.50 per session. We strive to keep costs as low as possible to ensure sessions are accessible to all. If you are on a low income or would like to enquire about a sibling discount, please contact the committee at info@egchildrenschoir.co.uk.

3. Attendance and Punctuality

        •       Regular attendance at rehearsals and performances is essential. Parents/guardians are expected to inform the choir in advance if their child is unable to attend a session.
        •       Punctuality is important. All members should arrive on time for rehearsals and performances. Persistent lateness or absenteeism may result in a review of membership status.

4. Behaviour and Conduct

        •       Members are expected to behave respectfully and responsibly towards fellow choir members, choir staff, and any venues visited.
        •       Any form of bullying, discrimination, or disruptive behaviour will not be tolerated and may result in disciplinary action, including potential termination of membership without refund.

5. Choir Rehearsals and Performances

        •       Choir rehearsals will be held weekly, and members are required to attend all scheduled rehearsals unless otherwise notified.
        •       Members are expected to participate in all scheduled performances. If a member is unable to attend a performance, the choir must be informed as soon as possible.
        •       Parents/guardians must ensure that members are collected promptly after rehearsals and performances. The choir is not responsible for the supervision of members outside of official choir activities.

6. Photography and Media Consent

        •       By agreeing to these Terms and Conditions, parents/guardians consent to the use of photographs, video recordings, and audio recordings of their child taken during choir activities for promotional purposes, including on the choir’s website and social media.
        •       If parents/guardians do not wish for their child to be photographed or recorded, they must notify the choir in writing at the time of registration.

7. Communication

        •       All official communication will be conducted via email or the choir’s designated communication platform. It is the responsibility of parents/guardians to ensure they are regularly checking and responding to communications from the choir.

8. Health and Safety

        •       Parents/guardians must inform the choir of any medical conditions, allergies, or special requirements their child may have.
        •       The choir reserves the right to take appropriate action in the event of an emergency, including contacting emergency services or administering first aid as necessary.

9. Termination of Membership

        •       The choir reserves the right to terminate membership if a member or their parent/guardian fails to adhere to these Terms and Conditions.
        •       Membership may also be terminated if the choir deems that a member is no longer able to fulfil the requirements of participation.

10. Changes to Terms and Conditions

        •       The East Grinstead Children’s Choir reserves the right to amend these Terms and Conditions at any time. Members will be notified of any significant changes in advance.

11. Non-Profit Status and Organisation

        •       East Grinstead Children’s Choir Ltd is currently undergoing the legal process to become a Community Interest Company (CIC). This process is expected to be finalised before the start of the courses in September 2024.
        •       The choir has been founded with a commitment to operate on a non-profit basis. The Music Director is the only paid staff member; all other costs are related to essential operational expenses such as insurances, professional checks, and venue hire.
        •       The directors and committee members are volunteers, dedicated to ensuring that the choir operates efficiently and continues to serve the community.

By enrolling your child in the East Grinstead Children’s Choir, you agree to these Terms and Conditions and commit to ensuring that your child upholds the standards and expectations of the choir.
